1. Introduction
OptiCloud Consulting Private Limited ("OptiCloud", "we", "our", "us") operates opticloud.in and the OptiCRM platform (opticrm.app, learn.opticrm.app). This Privacy Policy describes how we collect, use, and protect personal information across both this marketing site and the OptiCRM and OptiLearn applications.
This policy is effective as of 23 April 2026.
2. Information we collect
We collect information in three ways:
- Information you provide — name, email, institution name, and phone number when you submit a contact form, request a demo, or sign up for OptiCRM. When you create an account, we additionally collect registration details required to provision your institution.
- Information collected automatically — IP address, user agent, and page-view metadata via standard server logs. We do not run third-party analytics on opticloud.in.
- Cookies — we use minimal session cookies for authentication on the application surfaces. opticloud.in does not set cross-site tracking cookies.
3. How we use your information
- To respond to demo requests and contact inquiries.
- To deliver and improve the OptiCRM and OptiLearn services.
- To send transactional notifications related to your account, security, and billing.
- For service operation, security monitoring, and fraud prevention.
- We do not sell your personal information.
- We do not use your personal information for advertising.
4. Data we process on behalf of institutions
When an institution uses OptiCRM, we process student, parent, staff, and academic data on behalf of that institution. The institution is the data controller; OptiCloud is the data processor.
We do not use this data for any purpose other than delivering the service to that institution. Each institution's data is segregated at the database level.
5. Third-party processors
We use third-party services to deliver OptiCRM. These include hosting infrastructure in India, payment processing partners (PCI-DSS compliant), transactional email and SMS providers, and AI infrastructure for the AI Assistant feature.

6. Data retention
- Marketing inquiry data (demo requests, contact form): retained for up to 24 months from last interaction.
- Account data: retained for the duration of the institution's subscription, plus 90 days post-cancellation for restoration purposes.
- Backup retention: 30 days, after which backups are permanently deleted.
7. Your rights under the DPDP Act
Under the Digital Personal Data Protection Act, 2023, you have the following rights with respect to your personal data:
- Right to access your data.
- Right to correction of inaccurate data.
- Right to erasure (subject to legal and operational exceptions).
- Right to grievance redressal.

8. Children's data
OptiCRM processes data about students, including minors, on behalf of educational institutions. The institution is responsible for obtaining parental consent under the DPDP Act 2023 and applicable child protection laws.
We do not knowingly collect personal data directly from minors via opticloud.in.
9. Data security
We employ industry-standard security practices including encryption in transit (TLS 1.2+) and at rest, role-based access control, and regular security reviews. Additional details are published at opticloud.in/security.
We do not currently hold specific compliance certifications such as SOC 2 or ISO 27001. If and when these are achieved, this clause will be updated.
10. Data Protection Officer / Grievance Officer

11. International data transfers
Primary infrastructure is hosted in India. Some service providers (for example, AI infrastructure) may process data in other jurisdictions. For specifics, see opticloud.in/security.
12. Changes to this policy
We may update this policy from time to time. Material changes will be notified via email to registered users and posted on this page with an updated "Last reviewed" date. Continued use of the service after changes constitutes acceptance.
